How you set up your assistant

Five steps, most of them a sign-in or a form.

In short

You set up the assistant yourself: five steps, most of them a sign-in or a form. Your team keeps the last word.

This set-up is available in the countries where NordixAIgency has its own edition. Tell us where your business is and we will let you know when it opens there.

The five steps

  1. Step 1

Choose your solution and your country

Pick the solution for your kind of business. The prices, the currency and the invoice follow the country where your business is.

  2. Step 2

    Connect your calendar

Sign in with Google or Microsoft to connect Google Calendar or Outlook. If you do not keep a calendar yet, the one that comes with your Google or Microsoft account is enough.

  3. Step 3

    Describe your business

Opening hours, services and how long each one takes, prices and the questions customers usually ask. The assistant answers from this profile.

  4. Step 4

    Connect your channels

Forward your number or take a new one, connect WhatsApp Business through Meta's own sign-up, and add your email inbox and the chat for your website.

  5. Step 5

    Test it, then go live

Call and write to the assistant as a customer would, adjust the answers, and switch it on when you are happy with them.

What you need

  • A Google or Microsoft account for your calendar.

  • A phone line you can forward, or a new number, if your plan includes calls.

  • About 15 minutes to fill in your business profile.

You stay in charge

The assistant works inside the rules you set, and you can change them at any time.

  • Hand-over rules

Decide which conversations go to a person and to whom; each one arrives with a reference and the full context.

  • On-call hours

Set who is on call and when, with exceptions for holidays. Out of hours, notices wait for the start of the next shift.

  • A daily summary

Every morning: what was booked, moved or cancelled, and what is waiting for you.

What you can measure

  • Calls answered, also at night and at weekends.

  • Bookings written into your calendar.

  • No-shows avoided with the day-before confirmation.

  • How long your customers wait for a reply.

Security built in

Some things do not depend on how you set the assistant up: where your data is kept, what gets recorded, and what needs your confirmation.

Frequently asked questions

Do I need a technician to set it up?

No. Most steps are a sign-in or a form: you sign in with Google or Microsoft for the calendar, with Meta for WhatsApp Business, and forward your phone line from your operator's settings.

Can I keep my phone number?

Yes. You forward your current number to the assistant, always or only when you do not pick up, or you take a new number for it.

I do not use Google Calendar or Outlook. What then?

Every Google account comes with Google Calendar and every Microsoft account with an Outlook calendar: connect the one you have, and you see each booking on your phone like any other appointment.

Can I try it before my customers do?

Yes. You can call and write to your assistant as a customer would, change the answers in your profile and only then switch it on.

Can I change the answers later?

Yes. Your opening hours, services, prices and common questions are your profile, and the assistant answers from whatever it says today.
